Responsibilities
Primary Responsibility:
Lead Human Resources (HR) regulatory compliance efforts by designing and implementing practices and policies to ensure compliance from a people perspective is achieved consistently across Americold. Ensure these compliance standards are adhered to regarding employment processes, data management, and applicable employment reporting requirements.
Essential Functions:
Responsible for leading a team of background associates responsible gor background and compliance, including assigning work to direct reports, managing performance, reviewing deliverables, providing feedback, and offering support whenever necessary.
Design and develop programs, policies and practices to maintain the company’s compliance with all federal, state and local employment-related regulatory requirements such as FMLA and ADA.
Responsible for the management, communication, necessary revisions and updates to HR policies and procedures.
Partner with Talent & Culture to provide necessary communications and training concerning employment regulations and corresponding HR policies and procedures.
Develop and maintain affirmative action programs for federal contractor compliance; files EEO-1 annually; maintains other records, reports, and logs to conform to EEO regulations including roll out and monitoring. Partner with Talent Acquisition with regards to affirmative action, applicant tracking, job disposition codes, data integrity, and other compliance processes related to talent acquisition.
Prepare and track Severance Agreements through completion pursuant to corporate guidelines and working with legal counsel.
Work with legal counsel on legal employment claims and litigation and/or DOL audits and responding to to subpoenas and record requests for personnel files and employment records.
Responsible for HR employment compliance processes including, but not limited to managing Tracker I-9 contract and partnering with Corporate HR on Tracker I-9 system administration and I-9 compliance, JJ Keller posting subscription, monitoring background check process, escalating and solving process issues, employment verification services, substance abuse testing provider.
Develop and implement audit process to ensure adherence to compliance standards; proactively engage in HR risk assessments.
Collaborate with human resources to ensure the implementation of consistent regulatory, and HR policy compliance.
Responsible for working with Internal Audit and external advisors on Sarbanes-Oxley Act (SOX) HR reporting requirements. Training HR team on and managing SOX controls for payroll and HR functions.
Responsible for assisting legal counsel with employment litigation information requests and investigations.
Partner with Legal, Compliance and Internal Audit departments on processes for management of HR related enterprise risks or other employment related regulatory and compliance matters.
Other projects as assigned.
Qualifications
Qualifications & Experience:
Bachelor’s degree in HR Management or Business Administration
5 + years-experience as an HR professional, preferably in a compliance role
Experience with multi-site responsibility and support
Thorough knowledge of employment regulations to include but not limited to Affirmative Action Plans, FLSA, FMLA, ADA, ADEA, Sexual Harassment, etc.
Knowledge and Employment Standards:
Working knowledge of employment laws including, but not limited to the DOL, FLSA, ADA and EEOC
Broad knowledge of HR as it relates to leave management and attendance, hiring and recruitment, discipline, labor relations and compliance
General knowledge within the DE&I space
Ability to organize, prioritizes daily work, project manage and maintain strict confidentiality
Excellent written and oral communication skills, including ability to prepare formal and legal responses as well as train others
Proficient knowledge of PeopleSoft, Office 365, including Word, Excel, PowerPoint and Outlook
Experience using technology for collaboration such as Microsoft Teams, SharePoint or other platforms
Familiarity with HR service vendor platforms including Peoplesoft, iCIMS, ADP Casebuilder, Affirmative Action Plan databases, etc.
Working knowledge of Collective Bargaining Agreements and experience working with a unionized workforce preferred
Experience in distribution, warehousing or manufacturing environment preferred
